Reporting to the Accounts Payable Manager, this position will provide key support to the Accounts Payable Manager and Accounts Payable Specialist including financial, administrative, analytical, and operational by ensuring payments are completed and expenses are controlled by processing, verifying, and reconciling invoices according to established policies and procedures in an efficient, timely and accurate manner independently with minimal supervision.

DUTIES

  • Complete full accounts payable process for vendors and staff; maintain vendor database in both MIP and Concur, process payment requests, and obtain appropriate signatures and/or approvals.
  • Coordinate with Concur approvers to ensure accurate reporting; noting instances of error in coding or report preparation and suggesting corrections and improvements
  • Review and process employee expense reimbursements in Concur and serve as backup for monthly Concur Company Credit Card reconciliation.
  • Assist the Accounts Payable Manager in reviewing, designing, and implementing changes to the Concur module as needed
  • Prepare 1099 forms at year-end and ensure contracts and W-9 forms are on file. Prepare a Relocation Report for the Human Resources Department.
  • Key data into Global Refuge general ledger system, Concur, Excel, and related databases from a wide variety of source documents.
  • Prepare reconciliations for assigned general ledger accounts, as well as follow up on outstanding checks, and identify and resolve issues.
  • Prepare spending and analysis reports from Concur for department leads both regularly and as requested
  • Prepare accounting journal entries and adjust entries as may be necessary
  • Annual Audit Preparation- assist in fulfilling requests related to accounts payable and expenses as needed
  • Other duties as assigned by supervisor.

QUALIFICATIONS

  • Bachelor's or Associates Degree in Business, Accounting, or a related field preferred
  • At least 3-5 years of related business experience. experience working in a heavy volume/transactions environment or an equivalent combination of education and experience required
  • Working Knowledge in using General Ledger software and accounts payable-related modules; experience in Abila MIP is a plus.
  • Knowledge of regulations related to 1099's and appropriate internal controls related to cash disbursement.
  • Proficiency with Microsoft Outlook, Excel
  • Excellent problem-solving skills and desire to serve and support others.
  • Solid verbal and written communication skills; demonstrated ability to communicate agency policies and procedures to non-accountants; willingness to learn, hear; and give honest feedback in a way that is sensitive to the needs of others.
  • Ability to anticipate priorities and organize work to achieve outcomes required of the team; proficiency in carrying out multiple tasks efficiently and meeting deadlines. Demonstrate ability to be flexible in responding to changing priorities and work demands.
  • Extreme attention to accuracy and detail and the ability to handle multiple priorities and meet deadlines.
  • Methodical and highly organized in reviewing and filing documents and information.
  • Excellent customer service attitude and background.
  • Experience with and commitment to working in a very diverse workforce.
