Job Description

THIS POSITION IS SCHOOL SUPPORT STAFF OTHER

The Registrar provides essential leadership and support for student enrollment and withdrawals, student attendance, student records, and student schedules at the school level. The Registrar manages all processes around student attendance and records enabling the Principal and other administrative staff to focus on students and other essential matters. The Registrar ensures that these procedures are completed timely with fidelity and with excellent customer service for students and families.

Essential Functions
  • Serves as the in-school expert on City Schools processes and expectations for student enrollment and withdrawals, student attendance, student records, and student schedules.
  • Manages all school-based enrollments, transfers and withdrawals.
  • Ensures school follows all procedures and documentation for student enrollments and withdrawals.
  • Assists families in navigating the Enrollment, Choice, and Transfer process.
  • Oversees school efforts to engage new students, such as coordinating information sessions, school tours and organizing school participation in the annual Middle and High School Choice Fair to ensure students are made aware of their options and to help school achieve expected enrollment.
  • Works with staff, students, and families to ensure students attend school on-time each day and performs outreach accordingly.
  • Monitors and shares student attendance reports and organizes staff to support chronically absent students.
  • Documents all attendance changes and corrects attendance data within 1 business day.
  • Trains staff on attendance taking procedures and ensures all staff responsible for taking attendance update data daily.
  • Ensures each student has a complete electronic cumulative file in Infinite Camus and the updates are added annually as required.
  • Shares or collects student records in a timely manner when a student transfers and correctly documents the transfer in Infinite Campus.
  • Works with the Master Scheduler to ensure students are enrolled in the classes needed to matriculate or be on track to graduate and have working schedules by the first day of school or first day of enrollment.
  • Oversees distribution of schedules to students and families and of rosters and class schedules to staff.
  • Supports students and families in understanding graduation requirements and student schedules.
  • Monitors staff on grade entry and deadline requirements for the online grade book of record; ensures all grades are entered on time and all report cards/progress reports are issued on schedule.
  • Ensures all enrollment, transfer, attendance and other student data reports are submitted on time, along with continued follow-up with prior school to ensure latest report card, transcript and/or progress report is received.
  • Ensures accuracy of promotion/retention designation for all students, service learning hours and checks Infinite Campus daily for unscheduled students or scheduling issues.
  • Coordinates with the homeless liaison, immunization coordinator, IEP chair and transportation coordinator, especially with new entries.
  • Performs and promotes all activities in compliance with equal employment and non-discrimination policies; follows federal laws, state laws, school board policies and the professional standards.

Desired Qualifications
  • High school graduate with two years of college or equivalent work experience; experience and training in clerical and secretarial work and office practices and procedures. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
  • At least 2 years of experience working in enrollment, attendance, and/or student records.
  • Considerable knowledge of modern office practices and procedures with specific reference to records management, school curriculum, and course credit systems.
  • Ability to verify incoming records, maintain a complete record system and assemble and organize data and prepare reports from such records; ability to work independently and to exercise tact and sound judgment in working with confidential information; ability to make student referrals to appropriate school personnel, make decisions in accordance with established policies and procedures, and maintain clerical records and prepare reports.
  • Ability to work effectively with students, administrators and instructional staff, and other school employees, and the central office staff.
