Purpose and Need

As a part of EI's Project Management Unit (PMU), the Program Coordinator (PC) will be responsible for supporting project implementation team with administrative and logistical aspects of one large project or multiple smaller projects. The candidate will possess knowledge, skills, abilities, and experience to independently carry out tasks with high quality and exceptional service, using sound judgment and leveraging the guidance of Senior Program Managers, Program Managers, Project Directors, and EI's Operations Director as needed. The candidate will also engage with the EI-wide program management team in recruiting, some aspects of contractual management, travel management, and operations support. Through this position, the PC will have the opportunity to learn and apply their expertise in program management to achieve through implementation of United States Government (USG) contracted work.

Responsibilities

  • Assist the project team with management of specific components of contractual, logistical, financial and administrative aspects of USG-funded project(s).
  • Participate in the formatting and editing of deliverables, ensuring USG branding and high-quality visuals are incorporated.
  • Coordinate with portfolio and project implementation teams to implement administrative tasks compliantly, at high-quality, and with exceptional service.
  • Assist in maintaining project trackers and tables, including international travel tracker, labor tracker, deliverables tracker, financial management tracker, approvals trackers, etc.
  • Support all aspects of recruiting and onboarding of project consultants and other project-related personnel in collaboration with Company Health Team, project teams, and PMU.
  • Assist in management of subcontract and consultant negotiations and engagement.
  • Support the implementation team with project procurement efforts and maintain inventory list.
  • Plan, prepare, and communicate schedules and progress records of projects' activities and expenditures, and assist others in establishing project schedules and milestones.
  • Assist senior management teams in planning, facilitating, and following up on team meetings, both remote and in-person.
  • Assist in research, knowledge management, datamanagement, and work process management in the development of client products.
  • Assist with file management and retention of all project files.
  • Assist with setting up and coordinating project-related events.
  • Support with project administrative functions of project startups and closeouts as required.

Qualifications

Minimum Qualifications

  • Bachelor's degree and one year of relevant experience.
  • Demonstrated administrative experience managing multiple tasks.
  • Experience providing administrative support to multiple team members, consultants, clients, and stakeholders.
  • Experience in basic budgeting.

Preferred Qualifications

  • Experience in project management procedures for planning and processing domestic or international development projects, and for supporting with travel, event coordination, and other logistical and administrative functions of development projects.
  • Demonstrated administrative experience with project management functions, including backstopping multiple tasks, contracts, consultants, subcontractors, clients, and stakeholders preferred.
  • Experience in recruitment of staff and logistical support preferred.
  • Experience in supporting USAID-funded projects preferred.
  • Experience with USG-funded procurements,practices,and documentation preferred.
  • Experience working in multi-cultural environments and building effective working relationships with clients and colleagues, including managing above as well as below.
  • Professional proficiency in Spanish, French, or other languages.

  • Ability to solve operational problems and evaluate options based on relevant information, resources, well-rounded experience, and knowledge.
  • Ability to collaborate with, listen to, respect, and celebrate the contributions of others, including others of different cultural backgrounds.
  • Highly organized with excellent verbal and written communication skills, as well as strong facilitation and copy-editing skills.
  • Advanced to expert knowledge of MS Office suite (particularly MS Word,Teams,PowerPoint, and Excel)and Google Suite (Gmail, Calendar Google Drive/File Stream, Sheets, Docs).

Additional Requirements

  • Legally authorized to work in the United States with no restrictions.
  • Criminal background check required.

BASE STATION AND COVID-19 POLICY

This opportunity is a full-time position. The preferred location for this role is in Washington, D.C., however, exceptional remote candidates will be considered. Environmental Incentives is implementing a hybrid work model in which employees will be required to work in the office approximately two days per week.

Proof of full vaccination against Covid-19 or legally authorized exemption is required for all Environmental Incentives employees working in the United States, regardless of office location or remote work. Selected candidates will be required to provide proof of full vaccination before beginning employment with Environmental Incentives. Full vaccination is defined as 2 weeks after the final dose of the requisite vaccination.

COMPENSATION AND BENEFITS

The starting salaryrangefor this positionis$48,000-$58,000 per year.
